Folder Permissions
To apply permissions to a folder:
- Navigate to the desired folder on the app
- Hover over the admin icon in your toolbar > click 'apply permissions'
- Here you can choose how to manage permissions within the folder
- Global Folder Security - Global permissions mean that a user with access to the Team/Dept Site that the app lives on, they will have access to the content within this folder.
- Global View - Users will be able to view all content in this folder
- Global Add - Users will be able to add content to this folder. Users will also have the ability to Edit and Delete their content, but not those created by others
- Global Edit - Users will be able to edit all content in this folder
- Global Delete - Users will be able to delete all content in this folder.
- Assigning User or Group Permissions - The ability to further grant permissions for users means that you can keep the Global permissions limited to View access, and apply further permissions (e.g. add, edit, delete) to specific individuals or groups.
- Global Folder Security - Global permissions mean that a user with access to the Team/Dept Site that the app lives on, they will have access to the content within this folder.
The process to assign permissions is the same regardless of User or Group. To assign permissions for Users or Groups:
- Select Users/Groups - You can click one by one, hold CTRL on your keyboard to select multiple, or use the Shift key to select multiples at once
- Check the box next to each permission being granted to the User/Group (View is selected automatically)
- Click the arrow pointing down beside the permission name to apply the permissions down to sub-folders of this folder. After clicking, the arrow should be darker as shown above
- Click 'Save' next to each permission. As you do so, you'll see the permissions appear under the name of the User(s)/Group(s):
Note: Super Admins can assign a new owner when editing content within an App. Users that are owners can edit and delete the document as needed without being granted permission to edit and delete content within the folder.
Folder Owners
Similar to that of folder permissions, users can be granted ownership over a folder. The difference is that a folder owner can create subfolders within the folder they own. Also, unlike the app owners, folder owners won't have edit/delete permissions of the items in the "list view" layout. However, they are able to edit/delete in the "item view".
To assign folder owners:
- Navigate to the app
- Hover over the admin icon in your toolbar > click 'Manage Folders'
- Click the folder that you want to assign an owner to
- Click 'view' next to folder owners:
- Select the name of the user(s) and/or groups that you wish to assign as owners of this folder and click 'save' in the corresponding section.
App Owners
App Owners are granted full control over an application's content, folder management/security, settings, and the ability to view the 'Dashboard' for Read/Confirm and Review dates within a Documents app.
To assign App Owners:
- Navigate to the desired app
- Hover over the admin icon in your toolbar > click 'App Admin'
- Click 'App Owners' from the right menu
- Add the user(s) or group(s) - no save is required.
