Navigating to Analytics:
As an Administrator or Super Administrator you can navigate to analytics by going to Admin Home, and selecting the analytics tab.
Disengaged Users:
The Disengaged Users report helps you identify and re-engage users who haven't logged into the intranet recently. This report shows only users who have NOT logged in within the selected time period. Users who have logged in within the time filter period will not appear on this list.
User Information
For each disengaged user, the report displays:
- Profile Picture: Visual identifier (shows default avatar if no picture)
- Name [username]: Full name and login username
- Department: The user's department (if one is assigned)
- Job Title: The user's role (if one is assigned)
- Last Login Date: When they last accessed the intranet
Using Filters
Time Period: Filter users by how long they've been inactive:
- Last 7 Days: Users who haven't logged in for a week
- Last 30 Days: Users inactive for a month
- Last 60 Days: Users inactive for two months
- Last 90 Days: Users inactive for three months
Department: Select specific departments to review, useful for department-specific engagement initiatives.
Sending Reminder Emails
You can send re-engagement emails directly from this report:
- Select Recipients: Click the checkbox next to individual users, or use Select All to choose everyone on the list.
- Compose Email: Click the Send Reminder Email button. A dialog will appear where you can enter your subject line and message body.
- Send: Review your message and click Send Emails. A confirmation will show how many emails were sent successfully, and any errors will be displayed.
Best Practices:
- Keep messages friendly and welcoming, not punitive
- Highlight specific benefits or recent updates they may have missed
- Include a direct link to the intranet
- Offer support if they're having trouble accessing
- Don't send more than once per month to the same users
Exporting Data
Click Download CSV to export the list of disengaged users. The export includes all users matching your current filters and can be opened in Excel or Google Sheets for further analysis or reporting.
